Program organizers may use the AlbaNova Aagenda System at agenda.albanova.se for maintaining a web page for the programs. This includes pages for participant application/registration, participant lists, seminar schedules and various other informational pages. Slides and video recordings from presentations during the program may be published here.
Once your program has been approved, a template web page for the program will be created by us. It will be closed for public access until it has been modified and adapted to your requirements.
To find the program page, go to agenda.albanova.se, then "Nordita Programs", then the year and follow the link of your program.
The web address to this Agenda page is rather clumsy. We provide an alias to the program web page address, more suitable for promoting the program, in the form www.nordita.org/programs/text2010. The last part of this address is some short form of the program title and the year. Let us know if you have any preferences for this text.
In order for you to take part in the adaptation process and the maintenance of the web page information during the program, you need to create personal accounts in the Agenda system for one or more program administrator. To do this, go to agenda.albanova.se and click on the login link in the upper right corner. Follow the link to create a new account, and fill in the form. Note that a valid mail address is essential, since you need to confirm the account creation.
After creating accounts, please inform us of the names of these users, and we will assign administration rights for the program page for them.
Once this has been done, you can log in to the Agenda system and then browse to the program web page. Click on the little red icon just left of the program title. You are now in the editing mode for the program web.
The booking of seminar rooms and lecture theaters is done via the web page rooms.albanova.se. Make sure you have the seminar room being reserved for much of the time of your programs.
The seminar room in the Nordita Main building (132:028) is normally reserved for program activities, but the room in the Nordita Astrophysics building (122:026) should be reserved if needed.
In order that other people on campus see what daily discussion and/or talks are being organized, we suggest to schedule them on the agenda paper under Nordita events, so put them up under agenda.albanova.se/categoryDisplay.py?categId=3. This way these events will show up after 1-2 minutes on the screen near the entrance. No email will be sent, however. So you have to do this separately if necessary. You can change the times or other details anytime later on.
Some Programs have a short (e.g. 2-3 days) symposium as part of the Program, either at the beginning or the end of a Program. Other programs have a 1-2 week School at the beginning. This allows young PhD students to get exposed to new subject areas and then perhaps to participate in the program.
The organizers are encouraged to seek external funding for either of these events. As a rule, Nordita does not provide honoraria to speakers or teachers. However, honoraria can be paid through other sources that specifically allow for such taxable expenses.
Seminars can be recorded and the video clips can be published on the program web page. Please ask Hans Mühlen for assistance on how to use the Nordita video camera. The raw data will be saved under http://www.nordita.org/video/
The allocation of office space in the Nordita buildings for program participants is handled by Laila Leidersten.
Program participants are encouraged to register preprints at with the Nordita preprint data base; see www.nordita.org/preprints. Please acknowledge Nordita and/or the program if appropriate. If a significant amount of work was done it Nordita, it might also be appropriate to list Nordita as affiliation. The program organizers are encouraged to come to the weekly Nordita coffee on Fridays at 15.00 pm. These meetings can be used to discuss practical matters between Program organizers and Nordita staff. In addition, there will be a meeting between program organizers and the program committee at some point during the program. This meeting is intended to provide mutual feedback between Nordita staff and the program organizers.
It is common practice to organize various social events during a program. This may include gatherings with wine, beer and snacks at Nordita as well as an organized dinner either at AlbaNova or elsewhere in the city. Program organizers should talk to Laila Leidersten about practical arrangements. Note also that there is an upper limit of about 600 SEK that can be reimbursed.
